IT Support & Hardware Coordination Specialist

Key Responsibilities

Project Coordination & Scheduling

  • Coordinate and lead weekly standup meetings with the project team
  • Organize and maintain calendars, key activities, and project milestones
  • Act as an informal coordinator between technicians, users, and field offices to keep refresh activities on schedule
  • Communicate with office contacts to organize Field Office PC Replacements, including office/travel logistics

Hardware & Inventory Management

  • Manage inventory for laptops, desktops, iPads, docking stations, cables, mice, and related equipment
  • Track and facilitate shipping/receiving of hardware (boxing, unboxing, delivery coordination)
  • Maintain hardware accuracy and support logistics throughout the project lifecycle
  • Ability to move up to 35 pounds of equipment

Customer Service & Support

  • Provide high-quality service to business partners via calls, emails, and instant messages
  • Coordinate support with other departments as needed
  • Collaborate with a highly communicative support team that “swarms” issues rather than escalating between technicians

  • Microsoft Azure / Intune (device management)

Qualifications

  • Associate’s degree required (Bachelor’s preferred or equivalent work experience)
  • Relevant internship or 1-2 years in IT customer service, IT support, or a related role
  • Excellent written and verbal communication skills
  • Strong organizational, planning, analytical, and time-management abilities
  • Detail-oriented, self-starter, and able to work independently and in a collaborative team
  • Strong problem-solving and conceptual thinking skills
  • High degree of accuracy, confidentiality, and professionalism
  • Willingness to learn new technologies and work with people at all levels
  • Basic understanding of insurance or financial services is a plus

Additional Information

  • Onsite role; no remote option
  • Possible conversion only if a future full-time opening emerges
  • High complexity environment with many moving parts: inventory, scheduling, logistics, shipping/receiving
  • Success requires exceptional communication and customer service skills, strong followthrough, and the ability to manage detailed tasks at scale
