A highly regarded international professional services organization is seeking an experienced Legal Executive Assistant to provide strategic administrative support to senior attorneys and firm leadership. The successful candidate will serve as a trusted business partner, helping attorneys manage priorities, maintain client relationships, and navigate complex schedules while leveraging technology and modern productivity tools to maximize efficiency.


Key Responsibilities

Executive & Attorney Support

  • Develop strong working relationships with assigned attorneys and gain a thorough understanding of their practices, clients, and business objectives.
  • Manage competing priorities, maintain confidentiality, and handle sensitive matters with professionalism and discretion.
  • Anticipate attorney needs and proactively coordinate activities to ensure matters move forward efficiently.
  • Serve as a primary point of contact for internal and external stakeholders, maintaining a high level of responsiveness and client service.
  • Collaborate with administrative team members to ensure seamless coverage and continuity of support.

Client & Relationship Management

  • Assist with maintaining client contact information and relationship data.
  • Support business development efforts through coordination of meetings, events, communications, and client-facing materials.
  • Maintain professional interactions with clients, vendors, and industry contacts on behalf of attorneys.

Research & Administrative Coordination

  • Conduct research and gather information from a variety of sources to support legal, operational, and business development initiatives.
  • Coordinate administrative tasks and ensure attorneys remain focused on high-value legal and client-facing work.
  • Identify opportunities to improve processes and increase efficiency across daily workflows.

Technology & Productivity Tools

  • Utilize AI-enabled and other technology solutions to streamline administrative processes.
  • Manage email communications, calendars, and document organization systems.
  • Maintain electronic records and ensure information is properly stored and accessible.
  • Leverage advanced Microsoft Office skills to support document production, reporting, scheduling, and presentations.

Billing & Financial Administration

  • Assist with expense reporting and reimbursement processes.
  • Monitor timekeeping and support attorneys in meeting billing and administrative deadlines.
  • Coordinate with finance and billing teams to facilitate invoice review, revisions, and client billing activities.

Project & Meeting Management

  • Draft, edit, format, and proofread a variety of business and legal documents.
  • Coordinate internal and external meetings, including scheduling, logistics, and technology support.
  • Arrange domestic and international travel, prepare itineraries, and manage travel-related needs.
  • Support special projects and initiatives as assigned.

Professional Development

  • Participate in training programs, team meetings, and knowledge-sharing initiatives.
  • Maintain proficiency in office technology and stay informed about emerging productivity tools and best practices.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience preferred.
  • Minimum of five years of executive or legal administrative support experience, ideally within a law firm, consulting firm, financial services organization, or other professional services environment.
  • Experience supporting senior-level professionals in a high-performance setting.
  • Demonstrated ability to utilize technology and AI-powered tools to improve efficiency and workflow management.
  • Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail and commitment to delivering high-quality work.
  • Strong judgment, discretion, and problem-solving abilities.
  • Ability to work independently while collaborating effectively with attorneys, clients, and colleagues.

Work Environment

This position follows a hybrid work arrangement that combines in-office collaboration with remote flexibility. Regular in-office attendance is required to support team collaboration, client service, and business operations.
