Legal Executive Assistant

A prestigious international law firm is seeking an experienced Legal Executive Assistant to provide high-level support to a group of attorneys in a fast-paced, collaborative environment. This role serves as a trusted business partner, managing complex calendars, coordinating travel, overseeing billing activities, preparing legal and business documents, and acting as a key point of contact for clients and internal stakeholders.

Responsibilities

  • Provide comprehensive executive and administrative support to assigned attorneys.
  • Manage complex calendars across multiple time zones and coordinate internal and external meetings.
  • Arrange domestic and international travel, including itineraries, accommodations, and transportation.
  • Draft, edit, proofread, and format correspondence, presentations, reports, and legal documents.
  • Maintain organized electronic filing systems and manage confidential information with discretion.
  • Coordinate client communications and serve as a primary point of contact for administrative matters.
  • Prepare and submit expense reports while assisting attorneys with time entry and billing deadlines.
  • Partner with billing professionals to facilitate invoice review and timely client billing.
  • Utilize Microsoft Excel to prepare reports and track administrative data.
  • Collaborate with administrative colleagues and business services teams to ensure seamless support.
  • Assist with special projects and other administrative initiatives as needed.

Qualifications

  • 5+ years of Legal Executive Assistant or Legal Administrative Assistant experience within a law firm or professional services environment.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Experience supporting multiple attorneys and balancing competing priorities.
  • Demonstrated ability to exercise discretion and maintain confidentiality.
  • Professional demeanor with outstanding client service and interpersonal skills.
  • Proactive, detail-oriented, and able to work independently in a fast-paced environment.
